We get it. The meeting moves to five o’clock, the school calls at lunchtime, or the person who was going to mind the children on Saturday texts an apology two hours before you need to leave. Last minute babysitting is the thing every parent hopes they will never need, and almost every parent ends up needing.
The good news is that the scramble is optional. Gold Coast families who plan a little for the unplanned get help far faster than families starting from a blank page at 4pm on a Friday. Here is how urgent care actually works, what we have already taken care of long before your call comes in, and the small amount of preparation that turns a chaotic afternoon into a solved problem.
Why last minute babysitting feels so hard
Almost none of the difficulty is about finding a person. It is about trust, and trust normally takes time you do not have.
When care falls through at short notice, most parents run through the same mental list. Who is free. Who has met my children. Who knows the house, the allergies, the bedtime. Who would I genuinely feel calm about leaving. On an ordinary Tuesday that list takes a week to work through. At 4pm with a client waiting, it collapses down to whoever answers the phone, and that is exactly when families end up settling for less than they wanted.
The other pressure is logistical. Urgent care usually lands in the hardest slots of the week: late afternoons, evenings, weekends and school holidays. Those are the same hours every other family needs, so the pool of genuinely available people is at its smallest precisely when demand peaks.
What we have already done before you call
This is the part that makes short notice bookings possible at all. By the time you contact us, the slow work is already finished.
Every carer on our team is screened before they ever meet a family. Only around the top 20 per cent of applicants make it through. Each one holds current First Aid and CPR certification, a valid Working with Children Check, and references we have followed up ourselves. That matters most in a hurry. When you book at short notice you are not assessing a stranger under time pressure, because all of that happened months ago on our side of the fence. We are simply matching you with the carer who is free, suits your children’s ages and knows your area. Set yourself up before you need it
The families who get same day care most easily have almost always done one thing: they registered before there was an emergency.
Get on the books while things are calm
Registering takes a few minutes and costs nothing. It means we already hold your address, your children’s names and ages, allergies, routines and anything else that matters. Book the first session when you do not need it
A relaxed first booking, a Saturday afternoon or a couple of hours while you are still pottering about the house, does something a rushed booking never can. Your children meet a carer with no tension in the room, and that carer learns your home. Next time you need help urgently, it is a familiar face at the door rather than a stranger arriving into an already stressful afternoon.
Keep a one page home sheet ready
Not a policy document. One page on the fridge with emergency contacts, your mobile and a second number, the GP, allergies and medication, dinner and bedtime, what the children are allowed to watch, where the first aid kit lives, and how the locks and alarm work. This is preparation about your own home, and it is the single fastest thing you can do to make an urgent booking feel calm rather than frantic. How to ask so you get an answer faster
When you do reach out, four details do most of the work:
- The date, the start time and roughly when you expect to be home
- How many children, and their ages
- Your suburb
- Anything a carer needs to know on arrival: an allergy, a night waker, a dog, a gate code
Send all of that in the first message rather than waiting to be asked. It usually removes an entire round of back and forth, and in a same day booking that round trip is often the difference between yes and no. What actually happens between your call and the doorbell
Short notice care can feel like a black box from the outside, so here is the sequence from ours.
- You tell us the date, the hours, your suburb and your children’s ages. If you are already registered, we have the rest.
- We check who is genuinely free, close enough to get to you and well suited to those ages, starting with any carer your family has had before.
- We confirm back to you with the carer’s name and their arrival time.
- That carer is briefed on your household before they leave home: allergies, routines, house rules, anything you flagged.
- They arrive a few minutes early for a short handover, so you can leave properly instead of shouting instructions from the driveway.
Most of that happens inside a couple of phone calls. The part that took months, finding and screening the person, was finished long before you needed them.
What last minute babysitting costs
Our rates do not change because a booking is urgent. There is no rush fee, and the same 2% service fee applies as on every booking.
Casual babysitting starts at $56 per hour for one or two children Monday to Saturday, and $70 per hour on Sundays, with a three hour minimum. Three children is $60 per hour Monday to Saturday, four children $65 and five children $70. Public holidays are $95 per hour. A fuel allowance of $1.10 per km applies if a sitter uses their own car to transport your children. Every rate includes GST.

The three hour minimum, and why it works in your favour
Parents sometimes ask whether they can book ninety minutes. The three hour minimum exists because it is what makes a professional team possible. A carer who drives across the Gold Coast for a very short shift cannot build a working week out of those bookings, and if we cannot offer reliable hours we cannot keep the carers you want standing at your door.
In practice most families use the extra time rather than wasting it. Dinner, bath and bed with somebody else running the show is a completely different evening, and coming home without racing the clock is worth more than it looks on paper.
When last minute becomes every week
There is a point where urgent bookings stop being emergencies and start being a pattern. Two or three scrambles a month usually means the underlying schedule needs help, not the individual days.
At that stage an ongoing nanny is often calmer and costs no more per hour. The same rates apply, from $56 per hour, with a $500 non refundable recruitment fee, for anything between ten and thirty seven hours a week. You get the same person each week, your children get consistency, and the 4pm phone call largely disappears. Some families discover the pressure is not really childcare at all. When the washing, the groceries and the school admin are what tip the week over, a personal assistant can lift more weight than another sitting shift ever would.

Can you cover a booking on the same day?

How much notice is ideal?
Twenty four to forty eight hours gives us the best chance of matching you with a carer your children already know. That said, we take same day requests every week and fill a good share of them.
Will it be someone my children have met before?
We aim for that, and a returning carer is always our first choice. If nobody familiar is free, the carer we send has been through exactly the same screening as every other member of our team, and we brief them on your household before they arrive.
Do you charge more for short notice?
No. The hourly rate is the same whether you book a month ahead or this afternoon. The only addition is the fuel allowance, if your children are being driven anywhere.
